Safety, Liability and Insurance

Every year the Pelham Art Festival takes place on Mother’s Day weekend and the next in-person Festival is scheduled for May 11 to 13, 2023. The event is open to the public and all people. Visitors make purchases by using their credit or debit cards or directly from the artist through payment arranged with the artist.

Insurance   

Artists are responsible for insuring their own work, and for making sure that their art is safely transferred to the purchaser. Artists are to be present at the Festival.

Artists to be Present for the Festival

Artists must be on-site during the festival to represent themselves and their artwork. You may invite an assistant to join you and PAF volunteers are available to take care of your booth while you take short breaks. The artist may not hire a representative to sell artworks on their behalf because this practice is not consistent with PAF values of an accessible artistic sphere where artists can and should engage with the public. We take pride in putting the public in direct access to the artists who create the work. You acknowledge, understand, and agree, that you, the artist, will make yourself available to customers throughout the Mother’s Day in-person Festival weekend to respond to client questions or interests so that you are more likely to make the sale. 

Marketing Agreement

You acknowledge that your participation means artists will receive artist communications. You understand that PAF’s promotional material and visual assets that are shared with you cannot be altered, and they can only be shared “as is” to protect the integrity of the design and brand. By submitting an application, you allow PAF to reproduce images of your work and biography text for use on the Internet for the purpose of promoting the Festival which in turn will benefit you. All images will be appropriately credited.

Security

Professional Security is arranged to monitor the Accipiter Arena at the Meridian Community Centre on Friday overnight and Saturday evening and overnight. Every effort is made to keep your work protected, and you are responsible for arranging that your work is covered by insurance.  

Artist Code of Conduct

Pelham Art Festival (PAF) values respectful behaviour, openness, a positive attitude and a sense of community as our core culture. In all of our relationships, communications and partnerships with our stakeholders and artists, we abide by these core values and we expect the same in return from you.

PAF has a zero-tolerance policy for inappropriate behaviour r and expects artists to treat others in a respectful manner, including PAF committee members, other artists, volunteers or customers during all communications related to the festival. If negative behaviour occurs, the artist risks losing their booth location and e-commerce presence on the PAF website during the festival, their participation fee will NOT be refunded, and future participation in PAF will be jeopardized.

You acknowledge that you fully understand and completely agree with the above terms, conditions and consequences as part of your participation in the Pelham Art Festival.

International Artists

If you are applying from outside of Canada, it is your responsibility to get the appropriate paperwork to enter Canada to sell your works. We do not provide invitations to artists for visa applications. All travel, accommodations, shipping and customs expenses are your responsibility. We recommend working with a licensed customs broker to import your work into Canada. Our recommendation for International artists is to apply for Pelham Art Festival Online.

Payment

The $25 ($10 for Youth Artists) application handling fee for the Pelham Art Festival is non-refundable. Booth fees are non-refundable after April 15th, 2023 unless your booth can be filled by an artist on the waitlist.

15% of the artist’s total sales will be kept as a commission by Pelham Art Festival. The commission proceeds are part of PAF’s fundraising efforts in support of the Pelham Public Libraries System, art scholarships and community arts projects.

Safety, Liability and Insurance

(PAF) Pelham Art Festival Online took place on a new website e-commerce platform from May 1-31, 2021, and was a free event open to the public and all people. Visitors to the site were able to make purchases securely using their credit or debit cards.

(PAF) Pelham Art Festival Online will take place on the e-commerce platform from May 8 to May 19, 2023, and is a free event open to the public and all people. Visitors to the site will be able to make purchases securely using their credit or debit cards.

Artists will be responsible for shipping arrangements for every sale that they make. In some cases, where the purchaser is local, the artist may be able to make the delivery themselves or meet the buyer halfway. For destinations out of their area, shipping artwork by courier or mail will be required. Artists will be responsible for doing their own careful protective packaging so that artwork arrives undamaged to its destination in a timely fashion. Artists are expected to arrange for adequate insurance coverage in case the artwork is damaged or lost in transit. Artists must provide appropriate shipping rates to their clients before closing a sale and the shipping cost should be added to the price of the artwork at the time of purchase.

Insurance

Artists are responsible for insuring their own work as needed, and for making sure that their art is safely delivered to the purchaser.

Online Gallery Setup: 

It is the artist’s responsibility to upload their artwork and accompanying information to their online gallery by April 28, 2023. Artist galleries should be completed for review by midnight on April 28, 2023. The artist’s gallery is password protected so only the vendor can upload and takedown work and enter descriptions, artist statements, prices and contact information. Please be aware that administration support will be available as needed, and will review your uploaded art to make sure all the information is entered and that your gallery shows your work well. The Pelham Art Festival admin will notify artists when they can begin populating their gallery…about April 1.

Artist Must be Available to Respond to Potential Customers

Artists must be available during the entire length of the festival to represent themselves and their artwork; the artist may not hire a representative to sell artworks on their behalf because this practice is not consistent with PAF values of an accessible artistic sphere where artists can and should engage with the public. If you sell out, PAF asks that you remain available for the remainder of the festival to represent yourself should inquiries about your work be made. We take pride in putting the public in direct access to the artists who create the work. You acknowledge, understand, and agree, that you, the artist, will make yourself available to customers throughout the 12 days of the festival to respond to client questions or interests as soon as possible so that you are more likely to make the sale.
